Job Title: Law Office Receptionist

Job Summary:

The Morton Law Firm Receptionist serves as the first point of contact for clients and visitors. This role requires excellent customer service, strong organizational skills, and the ability to handle a variety of administrative tasks to support the office staff and attorneys.

Key Responsibilities:

Client Interaction:

Greet clients, visitors, and vendors in a professional and friendly manner.
Answer incoming calls, direct them to the appropriate attorney or department, and take messages as needed.
Provide general information about the law firm’s services to clients and potential clients.
Ensure that clients are checked in and directed to the correct waiting area or attorney.
Administrative Support:
Perform general office duties such as filing, data entry, and maintaining office supplies.
Assist in scheduling appointments and maintaining calendars for attorneys.
Ensure that all client records are maintained accurately and in compliance with legal standards and confidentiality requirements.

Document Management:

Assist in preparing and organizing legal documents and forms.
Ensure client files and legal documents are correctly filed and easily accessible.
Provide assistance with photocopying, faxing, and scanning documents as needed.
Office Coordination:
Maintain a clean and professional reception area.
Coordinate with other staff members to ensure smooth office operations.
Assist with the preparation of meeting rooms for client meetings or conferences.
Billing and Financial Tasks:
Assist with tracking client billing information, including collecting payments and preparing invoices.

Skills & Qualifications:

Communication: Excellent verbal and written communication skills; ability to interact professionally with clients, staff, and attorneys.
Organizational Skills: Ability to manage multiple tasks and priorities in a fast-paced environment.
Attention to Detail: Ability to handle documents and client information with accuracy and discretion.
Computer Skills: Proficiency in using office software (e.g., Microsoft Office) and familiarity with law office management software is a plus.
Professionalism: Strong customer service skills and a professional demeanor at all times.
Experience: Prior experience in a receptionist or administrative role, preferably in a legal environment, is preferred.

Education:

High school diploma or equivalent required; associate’s degree or some college coursework preferred, but not required.

Pay: $13.50 – $14.50 per hour

Expected hours: 40 per week
