General Statement of Job
Performs skilled clerical and intermediate technical work in the Office of the Clerk of the Circuit Court; does related work as required. Work is performed under the limited supervision of the Chief Deputy Clerk of Circuit Court.

Job Responsibilities
Processing legal documents; collecting fees; preparing, entering, and maintaining detailed and/or confidential records, court files, dockets and jury information; assisting the public, legal community and judiciary in person, by telephone and electronically.

Answers inquiries and provides information to the public, attorneys, judges, other courts, etc. in person, by telephone and electronically.
Receives and initiates new cases as well as appeals from Juvenile & Domestic Relations and General District courts; enters pleadings; issues service of process, summons’, appropriate notices, subpoenas, updates files upon receipt of pleadings, letters, etc. by entering and scanning into appropriate Supreme Court of Virginia programs; issues show causes and capias’ as directed by the judge, finalizes cases, creates orders and issues certified copies.
Coordinates and schedules hearings; prepares, organizes and maintains court dockets and related jury preparation if necessary; assists the Judge on court days with case files, taking notes, giving oaths, labeling exhibits, scheduling and updating court results.
Prepare and transmit an electronic record of appeals from the Circuit Court to the applicable higher court following detailed instructions and time deadlines.
Receives, records, receipts, assembles, bar codes, scans, and accounts for payment of land recordation, concealed handgun permits, marriage licenses, judgments, wills and fiduciaries, financing statements, notary qualifications, court fines and costs and other departmental charges as needed.
Administers Oaths of Office.
Operates a variety of standard office equipment.
Performs related tasks as required.

Knowledge, Skills, and Abilities

General knowledge of the office methods, procedures and practices of the Office of the Clerk of Circuit Court; general knowledge of business English, spelling and arithmetic; general knowledge of Office programs and policies; ability to read and understand procedures and job related materials, ability to type at a reasonable rate of speed and operate a variety of office and computer equipment; ability to understand and follow oral and written instructions; ability to establish and maintain effective working relationships with court officials, associates and the general public.

Physical Requirement Details

This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires climbing, stooping, crouching, reaching, walking, lifting, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.

EDUCATION AND EXPERIENCE:

Any combination of education and experience equivalent to graduation from high school and some general office assistance experience.
