About the Role

As a Client Liaison / Legal Assistant, you will be the heartbeat of our client communication and legal support operations. This role requires exceptional organizational and interpersonal skills, as you’ll be the primary point of contact for clients, managing legal workflows, documentation, and internal coordination.

You’ll work closely with a collaborative team, receive input and tasks from multiple departments, and help ensure smooth delivery of legal and financial services. Comfort with both current and emerging technologies is essential, as we continually innovate our internal systems to better serve clients and streamline processes.

Key ResponsibilitiesClient Communication & Scheduling

Serve as the first point of contact for current and past clients
Coordinate and schedule internal and client meetings
Apply meeting prep workflows (review meetings, design meetings)
Monitor and respond to client inquiries (via MyCase and other platforms)

Pipeline Management

Open and maintain client cases in MyCase, SharePoint, etc.
Clean and update client files; implement workflow changes
Keep team aligned on deliverables and timelines

Billing Support

Process accurate monthly income reports by the 1st of each month
Review billing activity and escalate items requiring attorney review
Collaborate with billing department to ensure proper fee management

Legal & Administrative Support

Create EINs for trusts and business entities
Manage legal documents (print, collate, scan, and organize into binders)
Track meeting action items and maintain detailed notes
Provide administrative support for probate, business succession, and special cases
Assist with in-person signing meetings (notary/witness) and maintain legal formalities
Order and maintain supplies for the legal department

Requirements

Bachelor’s Degree preferred
2+ years of client-facing experience (legal or financial services a plus)
Strong communication and organizational skills
Comfort with existing technologies and eagerness to learn and embrace new tools
Ability to receive work from multiple team members and prioritize effectively
Proven skill in managing multiple projects with competing deadlines
Familiarity with legal or case management systems (e.g., MyCase) is a plus
Ability to thrive in a fast-paced, team-based environment

Job Type: Full-time

Pay: $22.00 – $28.00 per hour

Expected hours: 40 per week
