About the Position
A Legal Secretary’s primary goal is to relieve the attorney(s) and paralegal (s) she works with of the routine tasks involved in the practice of law so that they can focus on more substantive and valuable tasks. The Legal Secretary can and should participate in any aspect of a client’s matter that does not require a bar license. Legal Secretaries may not: Speak on the record, Sign pleadings and briefs, Set or recommend legal strategy, and Supervise the production of legal work.
Duties include, but are not limited to:
Client Focused Tasks
1. Interacts with clients and builds relationships by phone, email, and in person
a. Following up for client questionnaires and documents.
b. Schedules all client call and meetings.
Attorney Focused Tasks
2. Prepares and assures the execution of agreements and documents
a. Including but not limited to simple letters, pleadings, court forms, and communications.
b. Puts documents that have been approved by attorneys drafted into final form (firm letter head and format), ready to be delivered to courts, clients, co-counsel and opposing counsel.
c. Notarizes documents.
d. Prepares and Efiles documents.
e. Proofreads and double-checks documents before they leave the office.
2. Calendaring
a. Interacts with the courts and administrative agencies regarding hearings, motions, other appearances, and deadlines. Is the courts’ primary point of contact with the firm for all administrative and scheduling issues.
b. Calendars and dockets deadlines, i.e., demand letter response dates, annual list renewals, etc.
3. Trial Notebook
a. Contributes to Trial Notebook with the information they have received.
4. Conflict Checks
a. Conducts conflict checks per policy and procedure for all new names throughout the engagement.
Administrative Tasks
1. Organizes the attorneys’ deliverables.
a. Prepares trial binders
b. New Entity binders
c. Trust Binders
2. Keeps attorneys’ calendars and sends reminders
a. Assuring that the attorneys’ calendars are accurately maintained and organized. When a double booking is discovered, they are proactive about rescheduling the lesser of the two priorities.
b. Attorneys are given reminders of in-office and Zoom appointments daily.
3. Manages the Firm’s outgoing mail per the policy and procedure.
a. Ensures that all outgoing mail has a cover letter.
b. Ensures that all outgoing mail is formatted correctly.
c. Ensures that we have a copy of all signed outgoing mail.
d. Ensures that all outgoing mail certificates are saved in the client folder.
Required Skills:
·3 or more years of experience.
·Strong written and oral communication skills.
·Strong organizational skills with the ability to prioritize duties and meet deadlines.
·Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with intermediate proficiency in Excel preferred.
·Ability to work independently with minimal supervision.
·Ability to work with a variety of clients at all levels of the legal profession.
·Ability to handle multiple tasks simultaneously.
Education & Experience
A legal secretary should have a high school diploma, but advanced training at a college or university is preferred. A legal secretary should have prior experience in a law firm. Legal Secretarial experience is preferred, but in some cases experience as a file clerk, receptionist, or project assistant will suffice.

Pay: $40,000.00 – $43,500.00 per year
