We are looking for Patent Specialist – REMOTE Position
Artegis Law Group is a growing patent law specialty firm located in the heart of Silicon Valley with attorneys and staff located across the United States. We are looking for a full-time patent specialist to work remotely to handle patent paralegal and administrative work. The position will allow you to work directly with the partners of the firm as well as the attorneys and other timekeepers on our team.
The patent specialist will provide support on US and foreign patent application filings and related prosecution matters. Foreign filing and related prosecution experience is a plus. The patent specialist will operate as part of a team, will be under the supervision of an assigned partner, and will be expected to provide high levels of service to internal and external clients.
Essential Job Functions
Prepare, coordinate review, and file US and PCT patent applications, office action responses, issue fees, and other necessary prosecution-related filings; prepare supporting documents such as U.S. formal documents, declarations, assignments, and powers of attorney; work with inventors to get US formal documents properly executed and filed with the USPTO.
Coordinate foreign filings with partner and applicable foreign associated law firms.
Provide support in all phases of patent prosecution and collaborate closely with attorneys, patent specialists, paralegals, and clients.
Report and upload documents via client portal/docketing platforms (, Anaqua, Lecorpio, IPfolio);
Report to clients USPTO and foreign correspondence and notifications, including publications, recordation of assignments, office actions, IDS, Missing Parts, Petitions, Notice of Allowances and more.
Client portfolio management including preparing and maintaining client(s) status reports, charts and various client projects and tasks; act as a single point of contact for the client and provide assistance.
Prepare and file IDS and related materials with USPTO; utilize contracted resources as appropriate.
Manage docket(s), monitor deadlines, communicate and follow-up with the appropriate parties to ensure deadlines and related activities are timely met.
Review, organize and timely file documents and emails in Firm’s document management system (NetDocs) according to firm protocols.
Complete special projects as assigned.
Maintain accurate time records for client billing purposes on an as-needed basis.
Knowledge/Skills Required
Minimum of three years’ experience as a patent prosecution paralegal, prosecution secretary or administrator, or comparable position with experience working at a law firm.
Experience with USPTO Electronic Filing procedures.
Excellent knowledge of USPTO and PCT rules and procedures.
Foreign filing experience preferred.
Experience with client portal/docketing platforms (, Anaqua, Lecorpio, IPfolio).
High level of proficiency with technology, including Microsoft Office Suite applications, Adobe Acrobat, U.S. Patent Office Electronic Filing System, and internet research tools.
Good working knowledge of timekeeping software.
Excellent client service skills.
Must be willing to collaborate with others and take on assignments.
Excellent organizational and time management skills, the ability to work independently, prioritize assignments and handle multiple projects simultaneously.
Should have ability to work in fast-paced environment.
Ability to perform well under pressure.

This is a full-time position with benefits that include medical, dental, and vision. The firm also offers life insurance, short term disability plans and retirement plans in addition to holidays and paid time off. The pay range for this position is from $90,000 – $115,000, depending on experience level. Annual performance-based bonuses also are provided.
