As the Legal Operations Administrator, you will be responsible for managing and optimizing the efficiency of a legal operations department, with a focus on licensing, real estate administration, compliance, and acquisition support. You will assist in ensuring regulatory adherence, managing contracts, supporting real estate transactions, and assisting in the due diligence and integrations for acquisitions. Additionally, you will provide various levels of support for all aspects of the legal operations department which include, but are not limited to, project coordination, lease renewals and negotiations, contract maintenance and renewals, company audits, and regulatory compliance requirements. You will serve as the primary contact for the legal team, primarily pertaining to licensing, permits, property management, and contract and lease transactions and obligations.
Legal Operations & Compliance:
Oversee legal department workflows to improve operational efficiency.
Manage legal systems, document management, and contracts.
Ensure compliance with licensing requirements.
Prepare filings and track applications for company licensing and permits for all stores, ensuring compliance with city/state/federal requirements, contract terms and renewal timelines.
Maintain records of licensing agreements and track expiration/renewal dates.
Real Estate Administration:
Assist with lease agreements, property transactions, and title documentation, this includes lease renewals, amendments, terminations, and default matters.
Maintain real estate contract databases and ensure timely renewals and compliance.
Coordinate with landlords, tenants, and real estate counsel regarding lease negotiations and obligations which include resolving issues relating to the interpretation of and compliance with lease provisions and preparing corrective action items to Landlords or Tenants to comply and fulfill obligations under respective agreements.
Coordinate with internal team and external vendors to resolve issues associated with real estate.
Assist in reviewing real estate documentation.
Monitor tax, insurance, and regulatory filings related to real estate assets.
Contract & Vendor Management:
Assist in managing contracts related to vendors, food safety, workplace safety, licensing, real estate, and acquisitions.
Manage communications with third-party service providers and legal vendors and process associated invoices.
Ensure legal documents are properly executed and stored.
Track and manage contract lifecycles and key deliverables.
Serve as the primary point of contact for external licensors, licensees and regulatory agencies.
Acquisition Support:
Assist in due diligence for acquisitions and business expansions.
Gather and organize legal documents, insurance certificates, licenses and permits, contracts, and corporate records for review.
Lead communications with city/county/state agencies to learn about licensing requirements.
Track deadlines and critical milestones in the acquisition process.
Facilitate communication between internal teams, external counsel, and regulatory authorities.
Ensure proper integration of newly acquired entities into legal and compliance frameworks.
Financial & Administrative Support:
Assist with managing the risk & legal department budgets, invoices, and cost allocations.
Support financial reporting related to legal, real estate, and acquisition expenses.
Coordinate internal and external audits, ensuring compliance with financial and legal reporting requirements.
Provide administrative support, including projects, audits, scheduling, correspondence, and report preparation and ensure on time delivery.
