Downloads and processes routine communications received from the USPTO, foreign associates, clients, and other entities to handle all aspects of daily docketing, including: calendaring dates, dedocketing database dates, creating new database records, preparing docket reports, and assisting on other intellectual property docketing tasks, as necessary.
Updates and maintains client databases, intellectual property department databases and other electronic resources for use by clients and intellectual property team members (e.g., billing and matter management information, cited references during the life cycle of patent; contact information for foreign associates and inventors; and training materials).
Facilitates new matter process by providing required firm conflict, new business and new matter paperwork.
Assists with transfer, conversion, and merging of processes when transitioning client portfolios into the intellectual property docketing database.
Prepares routine/template documents such as shell responses for office actions; declaration and assignment documents; and correspondence to clients regarding status of applications and patents, including reporting of filing receipts for applications, publication notices, and forwarding patent certificates.
Manages annuities/maintenance fee payments, invoices and reports, per client instructions.
Works with attorneys, foreign associates, and/or third-party vendors to prepare, generate, and file information disclosure statements; obtains and organizes prior art references and/or copies of documents and articles needed for filing; and enters references into databases, as applicable.
Processes vendor invoices (foreign associates, expert witness, third-party vendors, etc.).
Assists with ad hoc projects, as needed.
Requirements: High school diploma or equivalent and at least one-year of law firm and/or patent and trademark prosecution experience; or equivalent combination of education and experience. Other Skills: Comprehensive knowledge of specific department and client guidelines, practices and procedures. Suburb attention to detail with ability to enter data accurately with minimal supervision. Excellent organizational skills including record keeping, data collection, and information tracking. Extensive technical knowledge with demonstrated ability to leverage technology to facilitate work. Ability to work under tight deadlines and handle multiple, detailed tasks in a fast-paced environment with shifting demands and priorities. Ability to collaborate and communicate in an effective matter with attorneys, clients and co-workers.
