As a Client Engagement Specialist at Victorium Legal, you will be the welcoming guide for potential clients after they connect with our receptionist. Your primary responsibility is to gather detailed information about each new inquiry, enter it into our filing system, and schedule initial consultations—ensuring that every prospective client feels supported and informed. You’ll also conduct consistent follow-ups with past inquiries who have not yet been onboarded, staying connected in a respectful, non-sales manner that reflects our firm’s commitment to client care.

Compensation:

$25 – $30 hourly

Responsibilities:
Handle Warm Transfers from Reception

Greet new clients transferred from our receptionist and create a positive, welcoming experience. This sets the tone for the client’s entire relationship with the firm and ensures a seamless start to the intake process.

Collect and Organize Case Information

Gather essential details about the client’s legal needs and accurately enter them into our secure filing system. By capturing information correctly from the outset, you enable attorneys to deliver more efficient and effective legal guidance.

Schedule Initial Consultations

Coordinate appointments between potential clients and our legal team, ensuring everyone’s availability is accounted for. Proper scheduling prevents delays, maximizes client satisfaction, and helps attorneys prepare thoroughly.

Conduct Consistent Follow-Ups

Reach out to prospective clients who haven’t been onboarded yet, addressing their questions or concerns. Maintaining this communication keeps our services top of mind and demonstrates our commitment to supporting each client’s needs.

Collaborate with Legal and Administrative Teams

Work closely with attorneys, paralegals, and department heads to share case details and insights. This collaboration ensures clients receive personalized attention, contributing to stronger attorney-client relationships.

Maintain Accurate Records and Documentation

Keep thorough logs of interactions, including phone calls, emails, and follow-up outcomes. Accurate record-keeping helps prevent details from slipping through the cracks and allows for efficient workflow management.

Qualifications:
Bachelor’s Degree or Equivalent Experience

A background in business, communications, or a related field (or equivalent years of professional experience) equips you with the foundational knowledge to succeed in a client-focused role.

Previous Intake or Client-Facing Experience

Prior experience in intake, lead management, or customer service, especially within the legal or professional services sector, ensures you can hit the ground running.

Proficiency with CRM or Case Management Software

Familiarity with data entry and organizational tools allows you to efficiently handle client information and maintain accurate records.

Outstanding Communication Skills

Excellent verbal and written communication helps you build rapport quickly, convey complex information clearly, and ensure a positive client experience.

Strong Organizational and Time Management Abilities

The ability to prioritize tasks, manage multiple leads simultaneously, and keep meticulous records is critical for delivering a seamless onboarding experience.

Professional Phone Etiquette and Warm Demeanor

Maintaining a calm, empathetic, and welcoming tone over the phone helps foster trust and makes potential clients feel at ease from the start.

Team-Oriented Mindset

Working collaboratively with attorneys, paralegals, and other staff is essential for delivering coordinated and effective client care.
