Agency Statement:
The Colorado Office of Public Guardianship (COPG) provides guardianship services to eligible indigent and incapacitated adult individuals who have no responsible family members or friends who are available and appropriate to serve as guardian; lack adequate resources to compensate a private guardian and pay the costs associated with an appointment proceeding; and are not subject to a petition for appointment of guardian filed by a county adult protective services unit or otherwise authorized by C.R.S. § 26-3.1-104. The COPG is mandated to be statewide by December 31, 2030.
Position Purpose and Objectives/Definition of Work:
The Colorado Office of Public Guardianship (COPG) is accepting applications for one (1) Staff Assistant. This role will be responsible for supporting the agency director and agency staff in various administrative tasks including receiving and distributing communications; maintaining supplies and equipment; assisting employees, coordinating meetings and other tasks as assigned.
The ideal candidate will have working knowledge of the Colorado guardianship and probate statutes, courts and procedures, along with the ability to successfully communicate and interact with clients, various stakeholders and vendors. The Staff Assistant must have the ability to work independently with general oversight and have working knowledge of Microsoft 365, Adobe, and Google Suites. The Staff Assistant must have the ability to maintain complete and accurate case information and case records.
ESSENTIAL JOB FUNCTIONS
Coordinate team meetings, board meetings, and trainings by preparing agendas, setting up/tearing down room, assembling and organizing materials, initiating reminders, transcribing meeting minutes, and performing necessary follow-up actions
Assist with hiring and on-boarding duties such as coordinating interviews and processing new hire paperwork
Process invoices and vouchers
Verify staff expense reports and provide to director for approval; follow up with accounting regarding tracking and payment of expenses
Collect employee timesheets, review for accuracy, and submit to director for approval
Coordinate the purchase of supplies, furniture, and other office materials
Schedule travel arrangements for staff
Coordinate the requests and approvals on the department purchase card
Assist in implementation and communication of policies, procedures, directives or other administrative changes
Assist in gathering research and data for annual reporting and any other related programming
Assist with resolving concerns and complaints from the public
Attend meetings and training as required
May coordinate volunteers including scheduling and assigning their work, training, and quality control
Communicate with court staff and complete required filings with the Colorado courts
Maintain client confidentiality
Make suggestions for process improvements
Perform other related duties as required/assigned by the Executive Director
REQUIRED EDUCATION, SKILLS, AND EXPERIENCE
Bachelor’s degree in business, public or court administration from a four-year college or university AND minimum of one year of administrative or office management experience; OR High School Diploma/GED AND 5 years of administrative or office management experience
Strong organization skills with the ability to plan and manage independent project work
Effective oral and written communication
Ability to take initiative, ensure punctuality, and deliver excellent internal and external customer service
Proficient in Microsoft Office Suite, including Word, PowerPoint, and Excel, and Adobe
PREFERRED QUALIFICATIONS
A working knowledge of the Colorado guardianship and probate statutes
Experience with court filings and records
Experience working in Salesforce
WORK ENVIRONMENT & PHYSICAL DEMANDS: This position is in a general office environment and is required to primarily be on-site. Physical demands of the job include frequent talking, hearing, sitting, reaching and repetitive motions with wrists, hands, and fingers. Employee may be occasionally required to stand, walk and lift or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
