Clerk 1 – Monmouth County Surrogate Court
The Monmouth County Surrogate Office is looking to fill a full-time Clerk 1 role that will support the Surrogate Court. The candidate will learn and help to maintain the Chancery Superior Court calendar. The candidate will learn the monthly probate report for submission to the Administrative Office of the Courts. The candidate will also assist in the filing of pleadings and motions for Superior Court matters relating to probate and Incapacitated Guardianships and will be processing and filing mail as it is received to the related cases.
HOURS: Monday through Friday, 8:30 a.m. – 4:30 p.m., 35 hours per week.
PAY: $40,000 to $50,000 DOQ
REQUIREMENTS:
LICENSE:
Appointees will be required to possess a driver’s license valid in
New Jersey only if the operation of a vehicle, rather than employee
mobility, is necessary to perform essential duties of the position.
EXPERIENCE/EDUCATION:
Legal secretarial experience, law office clerking experience, and/or an Associate Degree/Bachelor’s Degree, a plus!
EXAMPLES OF WORK:
As assigned to a court, learns to prepare the docket (or schedule)
of cases to be called and to contact attorneys, and other
parties to collect or provide information, ie. postponements, and adjourn court.
Receives, screens, reviews, and verifies documents.
Reviews and checks assigned reports, applications, and other documents
for corrections and completeness, refers problems to a lead worker or
supervisor for resolution.
Opens, time stamps, sorts, numbers, and distributes mail.
Receives pleadings, documents, forms, and fees; screens, sorts
and assembles this information for further processing.
Provides general, routine information in person and over the telephone;
refers complicated or non-routine inquiries to appropriate staff.
Will be required to learn to utilize various types of electronic and/or
manual recording and information systems used by the agency,
office, or related units.
Obtains documents from appropriate sources.
Provides technical assistance.
Reviews and answers correspondence.
May schedule cases for attorneys and assemble data
and information required for preparation of court cases.
May attend court sessions or hearings to provide support to the Surrogate staff.
Maintains records and files.
KNOWLEDGE AND ABILITIES:
Knowledge of office routines, equipment, and practices after a
period of training.
Ability to comprehend established office routines and department
regulations.
Ability to organize assigned clerical work and develop effective
work methods.
Ability to perform tasks accurately within prescribed time frames.
Ability to work effectively with associates, superior officials, and
members of the public concerned with the work of the department.
Ability to utilize various types of electronic and/or manual recording
and information systems used by the agency, office, or related units
after a period of training.
Ability to read, write, speak, understand, and communicate in English
sufficiently to perform duties of this position. American Sign Language
or Braille may also be considered as acceptable forms of communication.
