Job Description: Receptionist / Administrative Assistant
Prominent fast paced multi-office law firm has an immediate opening for a receptionist / administrative assistant in our Irvine office. We are seeking a professional candidate with 2-4 years of related experience from a professional service firm. We highly value the receptionist position as it is seen as the first impression of our firm. Therefore, we are requiring excellent front desk poise and image. Candidate will greet visitors, answer phones and provide support to the administrative department and overflow support to the legal assistants. Excellent opportunity for an individual seeking to contribute positively to a team and looking for an entry level position in the legal field.
Job Requirements:
A stable work history; reliable
Proficient in Microsoft applications including Word, Excel and Outlook
Excellent communication skills both verbal and written
4 year degree is preferred
2 years of related office experience
Excellent front desk poise and presence
Polished, professional & articulate
Ability to work independently
Good time management skills
Able to handle multiple phone lines
Bilingual in English/Spanish preferred (not required)
Job Responsibilities:
Greeting clients and visitors;
Answering visitor inquiries;
Answering and routing incoming calls on a busy multi-line telephone system;
Scheduling client and conference room appointments
Maintaining conference rooms, lobby or other public areas (such as the kitchen);
Scanning, photocopying, faxing and filing documents;
Collecting and routing mail and hand-deliver packages (internally);
Handle additional administrative duties such as: client intake, billing, handling payments data entry, word processing, establishing new case files, closing files, drafting simple correspondence and ordering meals.
Skills required:
Excellent interpersonal and customer service skills to communicate with attorneys, partners, clients, opposing counsel, vendors, staff and others.
Ability to operate multi-line telephone systems and office equipment such as computers, printers, scanners, copiers, videoconferencing equipment.
Strong spelling and grammar skills are important in taking effective messages and drafting correspondence and reports.

Pay: From $22.00 per hour
