Rinke Noonan is seeking an Administrative Assistant to join our team in St. Cloud. This is a professional position for someone who is organized, dependable, detail-oriented, and enjoys a variety of responsibilities throughout the workday. The successful candidate will play an important role in supporting attorneys and staff by assisting with administrative tasks, information gathering, records management, and client matter support.

Prior legal experience is not required. We are willing to train the right person. An administrative or professional office background is helpful, and an Associate’s Degree is preferred, but we place significant value on aptitude, professionalism, initiative, and a willingness to learn.

This position is particularly well suited for someone who enjoys staying active, managing multiple responsibilities, and contributing to the overall efficiency of a busy professional office. We welcome applications from both full-time and part-time candidates. For part-time opportunities, preference will be given to candidates who can work primarily during morning hours.

Position Responsibilities

Administrative Assistants work closely with attorneys, legal assistants, and administrative staff to support client matters and ensure the efficient operation of the office. Responsibilities include:

Criminal Defense Advertising Support

· Visit local government offices and public agencies to obtain publicly available information regarding criminal matters.

· Review and organize information to identify matters that meet firm-established criteria for marketing and client outreach efforts.

· Prepare and coordinate targeted advertising materials and mailings in accordance with applicable legal and ethical requirements.

· Maintain accurate records of outreach activities and related information.

Personal Injury Advertising Support

· Research motor vehicle accidents through publicly available records, reports, and databases.

· Review available information to determine appropriate recipients for marketing and outreach efforts.

· Verify and update contact information for prospective recipients.

· Prepare, organize, and coordinate advertising materials and related mailings.

Medical Record and File Management Support

· Request medical records and billing information from healthcare providers and facilities.

· Follow up with medical providers regarding outstanding requests, missing records, and billing documentation.

· Receive, organize, and maintain records and related file materials.

· Enter and update information within firm databases, spreadsheets, and case management software.

· Upload and organize records within firm systems to support attorney review and case management.

· Track requests and maintain organized records to ensure timely completion of tasks.

General Administrative and Office Support

· Maintain accurate electronic and physical records in accordance with firm procedures.

· Support attorneys and staff with a variety of administrative projects and special assignments.

· Monitor and complete assigned tasks in a timely and accurate manner.

· Perform additional administrative and office support duties as assigned.

· The position involves a variety of work and requires someone who can move comfortably among competing priorities while maintaining accuracy, attention to detail, and professionalism.

Preferred Qualifications

  • Associate’s Degree or higher;
  • Administrative, office, or professional support experience; or
  • Experience in banking, financial services, healthcare administration, customer service, legal services, or another professional environment.

Compensation and Benefits

Pay Range: $19.50 – $23.00 per hour

Compensation is based on skills, qualifications, experience, and overall fit for the position. The benefits listed below are available to full-time employees. Benefits eligibility and offerings for part-time employees may vary based on scheduled hours and applicable plan requirements.
