About The Role

We are seeking a highly organized and proactive Administrative Assistant to support our national client services team. This role acts as a vital liaison between senior leadership with direct client contact and the broader team, ensuring smooth communication and efficient project execution. The successful candidate will handle a high volume of confidential communications and documents, assist with project management initiatives, and provide essential clerical and administrative support tailored to the legal environment. The position offers flexibility with hybrid or remote working arrangements and can be located in any state where Wilson Elser maintains an office. Qualifications

  • Bachelor's Degree or equivalent professional experience
  • Minimum of 1-2 years of experience working in a law firm setting
  • Familiarity with Document Management Systems
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint)
  • Experience with data entry and data management
  • Experience supporting eDiscovery, information, data, or document collection and preservation (a plus)
  • Familiarity with web-based collaborative tools and work management software (a plus)
  • Experience with team messaging and instant messaging platforms (a plus)
  • Strong skills in email and calendar management, meeting coordination, and client interaction
  • Exceptional organizational and administrative skills with the ability to prioritize and handle multiple requests
  • Meticulous attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Comfortable working collaboratively within a national team environment
  • Professionalism and discretion in all client and internal communications

Responsibilities

  • Manage a high volume of client-facing communications, ensuring confidentiality and professionalism
  • Handle highly sensitive documents and information with discretion and accuracy
  • Collaborate on projects related to client interfacing, document management, data entry, and data organization
  • Assist with project management tasks, including data collection, entry, and ongoing management
  • Provide clerical and administrative support to legal teams as needed
  • Coordinate meetings, schedule appointments, and manage calendars for attorneys and paralegals
  • Support eDiscovery processes, data preservation, and document collection efforts
  • Utilize web-based tools and collaborative platforms to facilitate team workflows
  • Maintain organized records and ensure timely follow-up on action items
  • Communicate effectively with clients, internal teams, and external vendors
