Grade and Step Range: 25-01 to 25-10

Salary Range with Employer/Employee Retirement Contribution Option 1:
$42,636.96 to $61,721.28
Salary Range with Employer Retirement Contribution Option 2:
$36,519.12 to $52,868.16

Job Summary:

The Legal Secretary supports the legal operations of the Nevada State Board of Dental Examiners (Board) by providing high-level clerical and administrative services to the legal team. This position is responsible for managing correspondence, scheduling, document formatting, file maintenance, and supporting legal counsel and staff in organizing and processing legal materials.

The Legal Secretary ensures that the daily administrative functions of the legal team are handled efficiently and in compliance with Board standards and legal protocols under NRS Chapter 631 and NAC Chapter 631.

This position reports to the Senior General Counsel and works closely with the Legal Assistant and Paralegal. This position may report to the Executive Director for a variety of administrative tasks and the Paralegal and Records Control Officer for document management.

Key Responsibilities:

Administrative & Clerical Support

Format, type, and proofread legal documents, correspondence, and reports for accuracy and compliance.
Maintain electronic and physical filing systems for legal and complaint-related documents.
Receive and distribute incoming correspondence and maintain logs for legal mail and case-related communication.
Prepare meeting agendas, notices, and supporting documentation under direction of legal counsel.

Scheduling & Office Coordination

Schedule legal appointments, complaint reviews, and administrative hearings.
Manage calendars for the legal team, including Board meetings and key legal deadlines.
Coordinate logistics for hearings and meetings, including virtual conferencing and material distribution.

Communication & Records Handling

Respond to routine inquiries from staff, licensees, and the public under the guidance of legal staff.
Support the preparation of materials for public records requests.
Assist in ensuring records retention and compliance in accordance with state laws and Board policy.

Qualifications:

Education & Experience

High school diploma or equivalent required; formal training or coursework in legal office administration preferred.
Minimum 1 year of experience as a legal secretary or administrative professional in a legal or regulatory environment.

Skills & Competencies

Proficiency in office software, including Microsoft Word, Excel, Outlook, and PDF tools.
Familiarity with legal document formatting, administrative hearing preparation, and file organization.
Strong attention to detail, grammar, and document accuracy.
Excellent organizational and multitasking abilities.
Clear written and verbal communication skills.
Professionalism, discretion, and a commitment to confidentiality.

Pay: $36,519.12 – $61,721.28 per year
