Position Summary and Job Duties

Working 2nd Shift, from 2:30PM – 11:00 PM Monday-Friday, under general supervision, utilizing individual judgement and initiative, perform difficult and responsible duties calling for specialized knowledge in processing court paperwork and other inmate data and assist the public with information while maintaining jail security and confidentiality.

40% – DESK ASSIGNMENT:

Process legal/court documents after court proceedings: enter inmate sentences to include good time and time served if appropriate and knowing whether sentences should be consecutive or concurrent to other sentences, enter new court dates and bond amounts.
Add new charges as they come in, and confirm AWC’s and judgements when final copies come in.
Keep track of changes and updates to the court list and provide and receive updates with the District Attorney’s office.
Distribute daily court lists and inmate rosters to appropriate agencies.
Maintain inmate files.
Provide clerical support to jail sergeants.
Process and run clearances of inmates for release.
Utilize Time System to determine if there are outstanding warrants on an individual, run hit confirmations, and communicate with appropriate agencies.
Communicate with other agencies via Teletype.
Place detainers on inmates for other agencies.
Make cell assignments while checking for keep-separate issues, medical alerts and security levels.
Maintain master count of inmate population.
Manage and maintain organization of jail office.
40% – CENTRAL CONTROL ASSIGNMENT:
Process bond money and appropriate paperwork.
Schedule and facilitate conferences for attorneys and probations agents to meet with inmates.
Assist citizens with the Telemate System: Set up accounts, schedule visits, add funds to inmate accounts and communicate with Telemate when issues arise.
Process incoming and outgoing property for inmates.
Receive payments and issue receipts for Diversion payments.
Keep track of building passes and security clearance lists.
Keep track of jail equipment; AED, oxygen tank, medical kit and OC spray.
Manage cash in bond box.

20% – UNIVERSAL DUTIES REGARDLESS OF ASSIGNMENT:
Answer telephone and provide public with inmate status information as well as general Rock County information.
Remain aware of surroundings for security purposes.
Maintain prompt and regular attendance.

Job Requirements, Education, Training & Experience

High School Diploma
Minimum two (2) years office experience
Experience in the use of computers with ability to learn multiple software/programs.

Essential Job Functions (physical elements, equipment and working conditions)

Physical Elements:

Ability to life items weighing 50 pounds and life items weighing 70 pounds with assistance.
Inside work with no exposure to weather conditions.
Potential exposure to bloodborn pathogens.
Use of Equipment:
General office equipment including but not limited to: computer, printer, calculator, photocopier and fax machine.
Working Conditions:
Fast-paced office setting.
