Heltzel Williams PC is a highly respected law firm with roots dating back to 1907. We are located in downtown Salem with 12 attorneys and 16 support staff. We have an immediate opening for a full-time legal assistant in our estate planning department.
We are looking for a self-motivated and detail oriented legal assistant to ensure smooth running of appointments and document production. This is an excellent opportunity to join a growing estate planning practice and work in a dynamic, expanding and team-oriented atmosphere while enjoying the benefits of a small law firm. The position includes both administrative and paralegal responsibilities.
Responsibilities
-Provide general office support for attorneys, for example, maintain and organize files, photocopy, maintain calendars, coordinate meetings, calls and conferences, scheduling conference rooms, and room set up.
-Prepare initial drafts of estate planning documents and letters
-Notarize and witness signatures on estate planning documents (the firm will pay for notary cost and allow work time for training)
– Set up new clients and matters in the billing system.
-Take responsibility for formatting, consistency and accuracy on documents.
-Establish and maintain paper and electronic filing systems; classify, sort and file correspondence, records, and other documents.
-Perform general research and support activities to assist attorneys.
– Manage a detailed task list
– Communicate with clients and attorneys
Qualifications
-1-2+ years of experience as a legal assistant
-High level of proficiency with Word, Outlook, and Adobe and experience with Excel
-Outstanding organizational, interpersonal, and administrative skills
-Excellent attention to detail
-Must be self-motivated and able to meet deadlines under pressure
-Must have the ability to work as part of a team, as well as to work independently
– Strong written and oral communication skills
– Document review and management proficiency
– Experience with legal document management systems
Starting salary range is $21 to $31 per hour depending on experience. Full benefit package includes health insurance, medical cafeteria benefit, sick and vacation pay, 9 paid holidays, 401(k) match and profit sharing, year-end bonus, annual pay increase and paid parking.
